Role Overview

 

As Office & Operations Coordinator you will play a central role in supporting the daily operations of Double Pass across administration, finance coordination, and people operations. This is a broad and hands-on role combining operational support, financial administration, and HR coordination within an international and fast-moving environment.
We are looking for someone who brings structure, ownership, and reliability. Someone who enjoys working independently, thrives in a remote setup, and can connect people, processes, and administration in a practical and efficient way.

 

Key Responsibilities

 

Finance & Administration

 

  • Prepare invoices, payments, and supporting financial administration in close collaboration with the external accounting office.
  • Organise and follow up on financial documents, supplier administration, and operational workflows.

 

HR & Recruitment Coordination

 

  • Support recruitment and onboarding processes by identifying profiles, coordinating interviews, preparing administrative documentation, and assisting with people-related processes.

 

Qualifications & Experience

 

  • Experience in office management, operations support, executive assistance, administration, or a related operational role.
  • Strong organisational skills with the ability to manage multiple priorities simultaneously.
  • Comfortable working independently in a hybrid and international environment.Structured, proactive, and detail-oriented mindset.
  • Strong communication skills with a pragmatic and solution-oriented approach.
  • Affinity with digital tools and online collaboration platforms (Microsoft Teams, finance/admin systems, etc.).
  • Fluent in English and Dutch.
